CUSTOMER TERMS, CONDITIONS, CANCELLATION & REFUND POLICY

1. Cancellation of Tour by Customer Due to Personal Reasons

1.1 If the customer cancels the tour due to personal reasons such as leave not being approved, examinations, illness, family reasons, financial difficulties, or any other personal circumstances, cancellation charges will be applicable as per the cancellation policy.

1.2 The customer must submit the cancellation request in writing through email, letter, or any other mode accepted by the company.

1.3 The date on which the company receives the cancellation request shall be considered the official cancellation date, and cancellation charges shall apply accordingly.

1.4 If the tour is cancelled for any personal reason, the actual expenses incurred towards airfare, visa, hotel, cruise, transportation, or any other services, along with applicable cancellation charges, will be recovered from the customer. Once a booking is cancelled, it cannot be reinstated.

1.5 The refund amount shall be determined after considering the terms and conditions of airlines, hotels, transport providers, and other service providers.

2. Cancellation Charges Before Tour Departure

2.1 Cancellation Charges

Period Before Departure Cancellation Charges

More than 90 days- 15% of the total tour cost will be deducted.

90 to 61 days- 25% of the total tour cost will be deducted.

60 to 46 days- 40% of the total tour cost will be deducted.

45 to 31 days- 60% of the total tour cost will be deducted.

30 to 16 days- 85% of the total tour cost will be deducted.

15 to 1 day / No Show- 100% of the total tour cost will be deducted.

2.2 If a cancelled booking is rebooked, it will be treated as a new booking and the applicable rates, terms, conditions, and additional charges at that time shall apply.

2.3 If a customer chooses to leave the tour after it has started for any reason, no refund will be given. The customer will be responsible for all return travel expenses.

3. Visa Rejection or Delay in Visa Processing

3.1 Visa approval or rejection is solely at the discretion of the concerned Embassy/Consulate.

3.2 Destiny World Tours shall have no role or responsibility in the visa approval process.

3.3 If a visa application is rejected, visa fees, VFS charges, embassy fees, or any expenses incurred towards visa processing shall not be refunded.

3.4 If the customer wishes to reapply for a visa after rejection, new visa fees, VFS charges, and all related expenses must be paid additionally.

3.5 If the tour is cancelled due to visa rejection or delay, cancellation charges shall apply as per the company's cancellation policy.

3.6 The date of visa rejection shall be considered the cancellation date for calculating cancellation charges.

4. Natural Disasters, Pandemic & Force Majeure

4.1 In the event of natural disasters, pandemics, war, riots, floods, earthquakes, cyclones, political instability, government restrictions, airline operational shutdowns, or any circumstances beyond the control of Destiny World Tours, the company reserves the right to postpone, modify, or cancel the tour. Subject to availability, a credit note or adjustment in a future tour may be provided.

4.2 If any of the above circumstances arise before the tour departure:

1. No refund shall be provided.

2. The customer must select the next available departure date of the same tour.

3. If the new tour price is higher, the customer must pay the difference.

4. If the new tour price is lower, the balance amount will be kept in a credit shell.

5. No refund shall be applicable on the credit shell.

4.3 If any of the above circumstances arise after the tour has commenced:

If the stay is extended, the cost of accommodation, meals, and return travel shall be borne by the customer.

In both situations (4.2 and 4.3), Destiny World Tours shall have no direct responsibility or involvement. However, Destiny World Tours will provide appropriate guidance and assistance.

5. Air Ticket Cancellation & Refund

5.1 If the tour is cancelled by the customer or otherwise, cancellation and refund shall be processed according to the applicable cancellation policy of Destiny World Tours.

5.2 Even if there is a long period remaining before departure, if the air ticket has already been issued and is non-refundable, the full ticket amount shall be deducted from the refund.

5.3 It is the customer's responsibility to verify whether the air ticket is refundable or non-refundable before confirming the booking.

5.4 If the ticket is non-refundable as per airline rules, or if no refund is received from the airline, Destiny World Tours shall not be held responsible.

5.5 In such cases, the full ticket amount shall be deducted and no refund shall be payable.

5.6 Cancellation charges, date change charges, name correction charges, or any other fees imposed by airlines, airport authorities, or other related entities must be paid separately by the customer.

6. Foreign Exchange Rate (Forex Rate) Changes

6.1 The tour price for international tours is based on the prevailing foreign exchange rate at the time of pricing.

6.2 If the exchange rate of USD, EUR, or any other relevant foreign currency increases after booking and before final payment, the customer must pay the additional amount arising from such increase.

6.3 The exchange rate applicable for purchasing physical foreign currency may be higher than the online exchange rate.

6.4 Any additional cost arising from the actual currency purchase rate shall be borne by the customer.

6.5 Destiny World Tours shall not be responsible for fluctuations in foreign exchange rates, and any resulting additional amount must be paid by the customer.

7. Fuel Surcharge

7.1 Tour prices are based on prevailing airline fuel costs, transportation costs, taxes, government charges, and other operational expenses at the time of booking.

7.2 If airline fuel costs, fuel surcharges, transportation costs, taxes, or other related expenses increase before departure, Destiny World Tours reserves the right to revise the tour price accordingly.

7.3 The customer must pay the additional amount arising from such increases.

7.4 Customers will be informed of such price increases as early as possible.

7.5 Destiny World Tours shall not be responsible for price increases caused by fuel costs, taxes, government charges, or other external factors.

7.6 The customer is required to accept and pay such additional costs.

8. Merging of Tours

8.1 Destiny World Tours reserves the right to merge two or more tours in case of low participation or operational reasons. If this happens, the tour may be shifted to the next available departure date, and customers will be informed in advance.

9. Refund

9.1 The final decision regarding the refund amount shall rest with Destiny World Tours.

9.2 Refunds shall be calculated based on the cancellation date, actual expenses incurred, and the terms and conditions of airlines, hotels, transport providers, and other service providers.

9.3 Refunds shall be made only in Indian Rupees (INR).

9.4 Convenience charges, payment gateway charges, or transaction fees charged on credit card, debit card, UPI, net banking, or any online payment method shall not be refunded.

9.5 Tax Collected at Source (TCS) or any other taxes paid for international tours shall not be refunded.

9.6 Refunds shall always be made only in the name of the Primary Booking Holder mentioned in the booking form.

9.7 Destiny World Tours shall not be liable to pay any interest on refund amounts.

10. Health & Medical Responsibility

10.1 The customer must inform the company in advance about any relevant health condition, if required.

10.2 Any medical expenses incurred during the tour shall be the responsibility of the customer.

10.3 Decisions regarding emergency medical treatment may be taken based on local circumstances.

11. Passport & Travel Documents

11.1 It is the customer's responsibility to carry a valid passport, required visas, vaccination certificates, and any other travel documents.

11.2 The company shall not be responsible for any travel disruption caused by insufficient passport validity, incorrect documentation, or failure to comply with immigration requirements.

12. Immigration & Denial of Entry

12.1 Destiny World Tours shall not be responsible if immigration authorities of any country deny entry to a customer.

12.2 Any additional travel, accommodation, penalties, or other expenses arising from such denial shall be borne by the customer.

13. Travel Insurance

13.1 Travel insurance is recommended for all customers.

13.2 Coverage for accidents, illness, baggage loss, flight delays, or any other losses shall be subject to the terms and conditions of the insurance company.

14. Baggage

14.1 The safety and care of baggage shall be the sole responsibility of the customer.

14.2 The company shall not be responsible for loss, theft, or damage to baggage.

15. Punctuality

15.1 Customers must strictly follow the reporting times given at airports, hotel lobbies, sightseeing locations, and other designated places.

15.2 If a customer misses a tour, flight, transfer, or any other service due to late arrival, the responsibility shall rest entirely with the customer.

16. Customer Conduct

16.1 Customers must comply with local laws, regulations, and social customs.

16.2 In case of misconduct, inappropriate behaviour under the influence of alcohol, disturbance to other travellers, or violation of any law, the company reserves the right to remove the customer from the tour.

17. Photographs & Videos

17.1 Destiny World Tours reserves the right to use photographs and videos taken during the tour for advertising, promotional, and social media purposes.

17.2 The customer shall not be entitled to any compensation for such usage.

18. Jurisdiction

Any dispute arising out of these terms and conditions shall be subject exclusively to the jurisdiction of the courts in Kolhapur.

19. Final Condition

19.1 By booking a tour, the customer shall be deemed to have read, understood, and accepted all terms, conditions, cancellation policies, and refund policies of Destiny World Tours.

19.2 Compliance with these terms and conditions shall be mandatory for all customers.
